How We Work

A Clear Process. No Surprises.

From the first conversation to ongoing property oversight, every step is designed to give you complete confidence in how your home is being managed.

01

Getting to Know You

Initial Consultation

Every client relationship begins with a private, no-pressure conversation. This is our opportunity to understand your property, your schedule, your concerns, and exactly what you need from a management partner.

We'll discuss your current situation, any past challenges you've faced, how you like to communicate, and what a successful relationship looks like to you. There's no sales pitch — just an honest conversation about whether we're the right fit for each other.

What You'll Share

Property details, how you use the home, vendors you already trust, concerns, travel schedule, and communication preferences.

What You'll Learn

Exactly how we work, what to expect at every stage, our service options, and honest pricing without hidden fees.

02

Learning Your Property

Property Walkthrough & Onboarding

Before we manage anything, we learn everything. Our onboarding walkthrough is thorough, systematic, and documented — building the property knowledge base that makes us genuinely effective from day one.

Systems Inventory

HVAC units, water heaters, electrical panels, irrigation systems, pool equipment, security systems, and every major mechanical component is documented.

Appliance Records

Brand and model logged for every major appliance — so the right information is on hand when it's needed.

Vendor Directory

Your existing relationships with contractors, landscapers, pool companies, and other service providers are catalogued and preserved.

Property Preferences

Paint colors, thermostat settings, alarm codes, access procedures, and any property-specific details that matter — all documented securely.

03

Tailored to Your Property

Custom Management Plan

Based on the consultation and walkthrough, we develop a written management plan specific to your property and how you use it. This isn't a template — it's built around your home, your schedule, and your priorities.

The plan outlines inspection frequency, specific items to monitor, vendor relationships to maintain, seasonal preparation timing, and how we'll communicate with you throughout. You review and approve before anything begins.

Inspection Schedule

Weekly, bi-weekly, or custom frequency — timed around your calendar and the needs of your property.

Maintenance Calendar

Preventive maintenance tasks scheduled throughout the year before seasonal stress points arrive.

Communication Cadence

How and when you want to hear from us — reports, calls, texts, or a combination.

Emergency Protocol

Clear decision authority: what we handle immediately, what requires your approval, and how we reach you urgently.

04

Consistent, Thorough Care

Ongoing Property Oversight

Once onboarded, your property receives consistent, professional attention on the agreed schedule. Every inspection follows our comprehensive protocol, every visit is documented, and you receive a detailed photo report each time.

Between Inspections

We're available for questions, vendor coordination, and project management between scheduled visits. Our clients have a direct line — not a ticket system or a call center. You reach your property manager, who knows your home.

Technology-Enabled

Modern Tools, Personal Service

We use technology to be more thorough, more consistent, and more useful to our clients — not to replace the human judgment and relationships that define our service.

Digital Inspection Reports

Every inspection generates a professional, photo-documented report. Reports are stored in your property file and delivered directly to you after each visit.

Property Knowledge Base

AI-assisted records for every system, appliance, and vendor at your property. Filter sizes, paint colors, model numbers, warranties — all in one secure place.

Preventive Maintenance Scheduling

Maintenance tasks are scheduled proactively based on your property's systems and local climate patterns — not discovered when something breaks.

Common Questions

What Clients Ask Us

Do you perform any of the work yourselves, or only coordinate?

Both. For straightforward tasks — a filter change, a light bulb, minor adjustments — we handle it directly to save you time and cost. For larger or licensed work, we coordinate with your preferred contractors. If you don't have one for a particular job, we'll source a qualified contractor on your behalf. Either way, you have one point of contact who is accountable for the outcome.

How do you handle emergencies after hours?

Our Premium and Estate Management clients have direct access for after-hours emergencies. We respond to calls and messages, assess the situation, and dispatch emergency contractors as needed — keeping you informed throughout. Response protocols are established during onboarding so everyone knows exactly what to expect.

Can I keep my existing vendors and contractors?

Absolutely — that's always the preference. We catalogue your existing relationships during onboarding and coordinate with those vendors on your behalf. If you don't have someone for a particular job, we'll source a qualified contractor for you.

What happens when there's a hurricane warning?

Hurricane preparation is part of our standard service. Before storm season, we help develop a preparation protocol specific to your property. When a storm threatens, we execute that protocol — securing outdoor items, confirming shutters or storm panels are in place, and conducting a post-storm inspection as soon as it's safe to do so. You receive a report and photos throughout the process.

How is my property information kept secure?

We treat client information — including access credentials, alarm codes, schedules, and financial details — with strict confidentiality. Property records are maintained in encrypted digital systems. We do not share client information with other clients, vendors, or third parties beyond what's required to perform specific contracted services.

What's the minimum contract term?

We ask for a 3-month initial term to allow sufficient time to demonstrate the value of our service. After that, memberships are month-to-month. We don't want clients who feel trapped — we want clients who stay because they're genuinely satisfied.
